Prices

Prices listed online for all products are valid only on bookings between March , 2011 to August 2011. All bookings prior to this date or bookings after this period regular pricing will apply. If a rental is made during this period for future dates the price will apply unless Management at NYER states otherwise. NYER reserve the right to deny or cancel any pricing at any time.

RESERVING EQUIPMENT:

Equipment will be reserved upon receipt of a signed contract and a deposit of 25% of total charges, this deposit is non refundable and will be paid by cash, check or credit card only. In order to properly service all of our clients we request that all rental equipment for the event be provided by NY ELITE RENTALS LLC. Client must provide NY ELITE RENTALS LLC. with finalized account of products to be rented in 10 days prior to event at which time a final invoice with balance due will be prepared. THE RENTAL OF THIS EQUIPMENT IS TO THE CLIENT INDICATED FOR THE EVENT AND SPECIFIED DATE INDICATED ON THIS INVOICE. THIS EQUIPMENT CANNOT BE SUBRENTED OR USED BY OTHERS.

MISSING OR DAMAGED ITEMS:

Items not returned within 5 days after event are considered missing. Missing or damaged items will be charged to the credit card at replacement cost. A detailed invoice of these items will be provided to client.

SITE PREPARATION:
Please be sure your site is ready, (lawns mowed, furniture moved, vehicles moved, etc.) before the crew is scheduled to arrive. If the site is not ready or accessible when the crew arrives, the client will incur an additional fee and/ or equipment may not be delivered.
Clients agree to inform NY ELITE RENTALS LLC. In writing or fax to main office at least 7 days prior to event of the existence and location of any underground utilities (i.e. phone lines, cable lines, sprinkler systems, water lines, gas lines, electric lines, septic system, etc.) or conditions that may interfere with the ability to stake and/ or anchor equipment. Client will assume responsibility for all damages to underground utilities in absence of notice or incorrect location of utilities, NY ELITE RENTALS LLC. WILL NOT BE LIABLE FOR ANY DAMAGES OR INJURY AT EVENT.

DELIVERY & SET UP:

NY ELITE RENTALS LLC. Will strive to accommodate client delivery request; however, delays and changes in the schedule are sometimes unavoidable. We try to communicate any scheduling changes as they occur.
All items will be delivered and picked up at a designated location. The client must be available to count all items upon delivery and pickup; otherwise, NY ELITE RENTALS LLC. Counts will be considered accurate.

CLEAN UP & PREPARATION FOR PICK UP:

All floral arrangements, trash, and decorations of any kind should be removed from tent or other rental equipment before scheduled pickup time. There will be an additional charge for any items that have to be removed. All chairs and tables should be stacked in designated location as delivered.

WEATHER:

Tents are temporary structures designed to handle most normal weather conditions: however, there may be situations that become unsafe such as high winds or lightening. Evacuation of tents is recommended in these or other unsafe conditions.

FINAL PAYMENT:

Final payment is due ON DELIVERY and will be made by cash or credit card. (No checks) No orders will be delivered until full payment is received. A $25.00 charge will be added to your account each time the order is changed within 24 hours of your scheduled delivery. In the case where a balance due is unpaid past 30 days, client agree to pay an interest charge of 1% per month on the outstanding balance.

SUMMARY:

RESPONSIBILITY OF THE EQUIPMENT REMAINS WITH THE CLIENT FROM THE TIME OF THE DELIVERY TO THE TIME OF PICKUP. Please be sure all equipment is secured when not in use and protected from weather. All collection fees, attorney fees, court costs, or any expense involved in the collections of rentals charges will be the client’s responsibility. Be sure all equipment is returned according to these TERMS & CONDITIONS. The client is solely responsible for any additional charges incurred as a result of failure to meet these conditions. I HAVE READ AND AGREE TO THE ABOVE TERMS & CONDITIONS AND ACKNOWLEDGE RECEIPT. THIS CONTRACT IS VALID FOR ALL RENTALS PURCHASED BY THIS CLIENT, AND SUPERSDES ALL PRIOR CONTRACTS.

What to know when renting a tent

Calculate the number of people you will need for the tent to accommodate. Figure out how many tables and chairs (or you may not need both) that you will have under the tent. Make sure you allot for all items you will need space for including dance floors, banquet tables and so forth.

Measure the space you have available to place your tent. Most tents will require extra room beyond the size of the tent for staking the tent. You may also request an In-Home Assessment from NY Elite Rentals.

Decide if you would like sidewalls on your tent. Sidewalls are necessary if you are unsure about the weather conditions for the day of your event. They are available at an additional charge.

Provide NY Elite Rentals all the information you have gathered, how many people will be attending, what items you will have under the tent and how much outside space you have available.

Provide NYER with any information about local gas and electric or mark off any underground lines. If you have to contact your utility company several days notice before they will have this done is needed or more depending on the company’s regulations. When we stake the tent, we will have to anchor the tent to the ground and may have to place the stakes pretty deep, so this information is very important and vital.

What type of tent should I rent

Frame Tents

structures with no central poles. These are very practical, some of the advantages of frame tents include:
Frames need no space around them so they can make use of every available inch of spaces if space is at a premium. They can also butt right up to a building. The absence of poles inside means an unobstructed view for speeches.They don’t absolutely need to be pegged into the ground so can be put up on hard surfaces and weighted down. This is not a good idea in winter if strong winds are expected though.

Rope & Pole Tents

more traditional with poles. Better suited for fairytale weddings or classic styled events if that is what you want. There nmre affordable, pretty Dramatic. Good if you want to really impress.

What is the difference between pole tents and frame tents?

- Frame Tents offer no center poles thus creating a bit more room underneath the tent and can be placed on any type of surface including concrete, decks & grass.
- Rope & Pole Tents have center poles and are mainly used on grass surfaces but do have a distinct look as the peaks tend to be a bit higher than the Frame Tents.

When Do You Install Tents?

- As a general rule of NYER, we install on Wednesday, Thursday, Friday amd Saturday. This is subject to change based on the clients needs and the size of the event or weather. Our office notifies the clients about the installation date the Monday prior to the event

How long do your rental periods last?

- Most rental period are 24 hours (over weekend, on most items.)

Do you deliver and assembly all items?

- Yes we delivery and assembly all products. Delivery charge may apply. Unless otherwise posted or stated.

What are NY Elite’s minimum charge on rentals?

- The minimum orders for table and chair only is $75

Do You Require a Deposit?
